HILTON CARLSBAD OCEANFRONT RESORT & SPA

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following while other duties may be assigned


• Improves ADR (average daily rate) and REVPAR through the proactive application of yield management techniques and utilizing all technological means to do so.  Maintains statistical report(s) used to justify pricing decisions, restrict inventory and control market segment distribution.
• Participates in business review meetings with the Sales Department as needed to manage inventory and rate as well as maximize banquet space.
• Manages yield management system including group analysis, updating forecast information, tracking historical sets and monitoring rate hurdles and oversell.
• Conducts weekly yield meeting involving rate strategies, group pick-up and potential business, group and leisure pace, competitive analysis and financial room forecasts.
• Completes annual budget for guestrooms.
• Produce monthly 30-60-90 day rooms forecast for both group and leisure segments.
• Prepares 14 day forecast on a weekly basis.
• Establishes rates and allotments for wholesale and consortium.
• Maintains relationships with wholesalers through management of allocations.
• Complete weekly free sale calendar.
• Oversee work of Reservations Manager to ensure that reservations are being converted and sold in order to maximize revenue.
• Support reservation agents, group sales managers, leisure sales manager, and executive team with communication of vital rate and statistical information as needed.
• Develop and maintain strong working relationships with the operational departments of the hotel; special emphasis toward front office.
• Oversees Reservations Manager to ensure that guest history is being captured in order to utilize for reporting and marketing purposes.
• Monitor competitive analysis.
• Takes the lead in the maintenance of the relationship with Hilton Worldwide Reservations and establishes and keeps up-to-date all new rates/strategies and hotel descriptions in the ONQ system.
• Is proficient with all computer systems in the office including Excel, Microsoft Word, ONQ and Delphi.
• Prepares reports (Daily call analysis, call conversion report, pace, group pick-up report, source of business, market share penetration etc.)
• Works with VP-Sales and Marketing to coordinate marketing efforts (advertising, collateral, packages, brochures etc) as it relates to group and leisure business to impact need periods.
• Responds to incoming e-mails.
• Build and update rates in ONQ
• Build packages in ONQ

SECONDARY RESPONSIBILITIES/ADDITIONAL FUNCTIONS-TASKS:
• Interviews reservations staff.
• Monitors and coordinates waitlists.
• Clean up all non-guaranteed reservations.
• Sets incentive goals for reservations agents.


SUPERVISORY RESPONSIBILITIES: The Director of Revenue Management is responsible for the immediate supervision of the Reservations Manager and all Reservations Agents and to assure that all tasks and duties are performed properly.


EDUCATION, EXPERIENCE AND TRAINING: Hotel experience preferred.  2 years supervisory experience required.  Required computer knowledge to include Excel, Microsoft Word and some type of Property Management or Central Reservations system.  High School diploma required.  College degree preferred.  Hilton ONQ experience preferred.

LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization.

REASONING ABILITY: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.  Ability to deal with problems involving a few concrete variables in standardized situations.

EVENT MEETING MANAGER

SUMMARY :  Plan, solicit, book and coordinate catering and group room sales booking 20 rooms or less, while meeting/exceeding quotas expectation.

ORGANIZATIONAL SCOPE:
Position is responsible for solicitation of new business, handling inquiries, detailing Sales groups also responsible for detailing events and ensuring guest satisfaction.  Sell and service events, as well as groups with guest rooms. Primary sales efforts are in Banquet Food, Beverage and Meeting Room Rental and may include menu planning, agenda setting, hotel meeting services, hospitality amenities, and special VIP requests

ESSENTIAL FUNCTIONS:
1.  Solicit, negotiate and book new and repeat business through various efforts (outside sales calls, telemarketing, mailings, referrals, networking, etc...) to maximize room revenue to meet/exceed goals. 
2. Notify/coordinate customer specifications with other departments and quickly, efficiently respond to customer issues, comments and problems to ensure a quality experience and enhance future sales prospects. 
3. Develop a marketing strategy by analyzing historical, current and future hotel/market trends and creating selling strategies to capture the maximum amount of revenue and meet/exceed sales goals. 
4. Develop and continually enhance relationships with key corporate, business, community and travel industry accounts to maintain and increase our market share. 
5. Maintain accurate, legible records and files to provide group & catering history ensure future and current quality service and enhance future prospects. 
6. Communicate effectively with internal departments to achieve positive outcomes.
7. Participate in trade shows and community and professional organizations to maintain high visibility and the achievement of sales and revenue goals, as directed.
8. Perform special projects and other responsibilities as assigned and participate in task forces and committees as requested.
9. Review contract and facilitating communication before, during and post event with pertinent hotel staff to ensure a high level of service.
10. Host hotel tours, maintain strong customer relationship, participate and/or lead event meetings.

KNOWLEDGE, SKILLS AND ABILITIES:
• A minimum of 2 years hotel sales and marketing experience, Hilton preferred.
• Proven sales ability, skilled in developing relationships and closing business.
• Must have negotiating skills and ability to persuade.
• Knowledge of travel industry, current market trends and economic factors.
• Must possess exceptional guest service skills including high levels of patience, tact and diplomacy to diffuse anger, collect accurate information and resolve conflicts.
• Maintain professionalism at all times, demonstrating courtesy and respect to guests and co-workers.
• Must be available for evenings and weekends for business reasons including attending business/social functions, entertaining clients and oversight of sales & catering client bookings and events.
• Excellent verbal , written communication and presentation skills.

• Community involvement and/or professional association is highly preferred.

GUEST SERVICE ASSOCIATE - FRONT DESK


SUMMARY: Check-in and check-out guests and respond to inquiries and problems in an efficient, courteous and professional manner to achieve maximum customer satisfaction.

ESSENTIAL FUNCTIONS:
1. Handle guest registration and room assignments, accommodating special requests whenever possible.
2. Pre-register, block reservations and take same day reservations and when necessary future reservations following hotel rate structures, discounts, and sell strategies.
3. Handle guest check-ins/check-outs in accordance with hotel credit/cash handling policies in a efficient and friendly manner
4. Resolve customer complaints; assist customers in all inquiries in connection with hotel services, in-house events, directions, local attractions, check cashing, safety boxes, etc. 5. Cancel room reservations according to procedures.
6. Walk customers in a professional and courteous manner according to procedures.
7. Inventory guest room keys according to policy and request re-keying as necessary.
8. Assist with responsibilities and duties in the areas of luggage, reservations or phones.
9. Verify registration cards against computer to ensure accuracy of name, type of payment, rate, and market segment.
10. Other duties as assigned.

EDUCATION:
High School diploma/GED or equivalent education and experience. One year employment in a related positions. Previous On Q certification preferred.

SKILLS AND ABILITIES: Requires a working knowledge of the Front Desk and a general knowledge of hotel operations. Requires knowledge of and ability to operate computer equipment and the reservations system. On Q experience highly preferred. Verbal and written English communication required. DIRECTOR OF FRONT OFFICE (ROOMS)
Director of Front Office is responsible for ensuring the smooth operation of guest services, providing all guests with quality service while maximizing room revenue and productivity, and developing managers and employees.
RESPONSIBILITIES:
1.    Coordinate the organizational and administrative functions in all areas of the Rooms Division,  ensuring total compliance with standards of operation;

MAINTENANCE ENGINEER I

SUMMARY:  
Maintain the property equipment, electronics, rooms preventive maintenance program and Light Stay program, consistently keep updated records on file.  Respond to all internal and external guest's requests in a timely and efficient manner. 

ESSENTIAL FUNCTIONS :
1. Responsible for the continuous maintenance of property equipment
2. Responsible for guest rooms preventive maintenance and Light Stay Program. 
3. Respond or perform duties of a groundskeeper and maintenance as required. 
4. Respond and satisfy internal and external guest requests in a courteous, efficient, safe manner. 
5. Maintain proper records of the Rooms Preventive Maintenance Program. 
6. Complete work order request forms on a daily and timely basis. 
7. Maintain all mechanical areas and tools in an orderly and clean condition.
8. Maintain department pass-on log book as required.   
9. Other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES :
EDUCATION:
High school diploma or GED, technical/vocational school preferred. 
CPR, AED, First Aid certified a plus
CPO certification a plus    

EXPERIENCE:  Previous hotel maintenance experience preferred but not required. 

SKILLS AND ABILITIES:
Knowledge of technical fields including electrical, plumbing and general maintenance
Must have professional presentation and communication
Must be a positive team player and provide outstanding guest service
Ability to make independent decisions

LINE COOK 

SUMMARY:
Prepare food items in accordance with production requirements and quality standards while maintaining a safe, sanitary work environment.

ESSENTIAL FUNCTIONS:
1. Prepare food of consistent quality following recipe cards and production and portion standards, per dupe from servers.
2. Start food items that are prepared ahead of time, making sure not to prepare over estimated needs.
3. Date all food containers and rotate as per SOP, making sure that all perishables are kept at proper temperatures
4. Check pars for shift use, determine necessary preparation, freezer pull and line set up. Note any out-of stock items or possible shortages. Assist in keeping buffet stocked.
5. Return all food items not used on next shift to designated storage areas, being sure to cover/date all perishables.
6. Assist in setting up plans and actions to correct any food cost problems; control food waste, loss and usage per SOP.
7. Assist in prep work of vegetables and condiments as required for the next shift.
8. Other duties as assigned. 

EDUCATION:     High school education or equivalent experience
EXPERIENCE:   Minimum 1-2 years of cooking experience in food service (restaurant, in room dining, banquets) or related work experience.

SKILLS AND ABILITIES:

RESTAURANT SUPERVISOR - CHANDLER'S

 

SUMMARY:   

Assist with planning and managing of the Restaurant, Fire Lounge, In Room Dining and other food and beverage outlets as appropriate in order to achieve customer satisfaction, quality service, compliance with corporate/franchise policies and procedures and federal, state and local regulations while meeting/exceeding financial goals. 

ESSENTIAL FUNCTIONS:

1. Assists with managing the team members in the various outlets in order to attract, retain and motivate the employees; schedule, train, develop, empower, coach and counsel, resolve problems, provide open communications and recommend discipline and termination, as appropriate.

2. Assists with implementation of company programs and manage the operations of the Restaurant, Fire Lounge and In Room Dining and any other food and beverage outlet as required to ensure compliance with SOPs, safety regulations and federal, state and local regulations to ensure am optimal level of service, quality and hospitality are provided to the guest(s).

3. Assists with forecasting, implementing and monitoring/controlling outlet budgets and their components (labor costs, food costs, beverage costs, supplies, equipment, etc...) to maximize revenue and minimize expenses while ensuring adequate supplies and staff are on hand to provide top quality customer service. 

4. Assist with recognizing and responding to customer trends, needs, issues, comments and problems to ensure a quality experience and enhance future sales prospects. 

5. Assist with creating and recommending promotions, displays, buffet presentations and ideas to capture more in house guests and a larger share of the local market.

6. Assist with monitoring and controlling the maintenance/sanitation of the various outlet areas and equipment to protect the assets, comply with regulations and ensure quality service.

7. Perform special projects and other responsibilities as assigned.


Knowledge, Skills and Abilities:


Education:  High school equivalency, college degree preferred

SUMMARY:

AWARD WINNING HOTEL SEEKING -FRONT DESK MANAGER

SUMMARY
Assist the General Manager and Director of Front Office in supervising the evening operational activities of the hotel within corporate and hotel guidelines to provide the highest standards of courteous service while permitting acceptable profit levels.

ESSENTIAL FUNCTIONS:
Assist in the management and motivation of all associates, with direct reports of  front office associates, with daily supervision to include staffing, training, discipline, scheduling and visually monitoring performance to ensure adherence to all service and productivity standards to provide guest satisfaction.
Review VIP reservations, amenity orders, and requests for incoming and in-house guests.
Communicate with Front Office Agents and other departments to ensure proper handling of guests and groups. Maintain control over rate changes on in-house guests.
Field guest complaints, conducting through research to develop the most effective solutions and negotiate results. Plan and implement detailed steps by using experienced judgment and discretion.
Perform front desk duties, such as answering a multi-line PBX, check-in, check-out, gift shop sales. Handle cash, make change and balance an assigned house bank. Accept and record vouchers, travelers checks, and other forms of payment. Count cash and other methods of payment at the end of the shift to verify and balance the house bank.
Respond to hotel emergencies immediately in a calm and effective manner consistent with hotel emergency procedure policy. Response could involve, but is not limited to running up/down 4 flights of stairs, past and around obstacles. Color vision is critical in determining the nature of the alarm.
Communicate effectively both verbally and in writing to provide clear direction to staff. Observe performance and encourage improvement. Administration of disciplinary procedures. Monitor lobby traffic and make staffing adjustments as necessary.
Organize and conduct pre-shift meetings to disseminate pertinent information. Attend other hotel meetings as deemed necessary.  Other duties as assigned. 

KNOWLEDGE, SKILLS AND ABILITIES
3-5 years' previous luxury hotel experience with proven track record.
Previous management or supervisory experience required.
Ability to effectively deal with guests, some of whom will require high levels of patience, tact and diplomacy to defuse anger and collect accurate information and resolve conflicts.
Basic mathematical skills and considerable skill  to prepare moderately complex mathematical calculations and complete financial and budgetary requirements.
Ability to listen effectively and to speak English clearly to communicate with customers and employees.
Ability to prepare written complex reports of room availability and revenues generated.
Hearing and visual ability to observe and detect signs of emergency situations and to access and accurately input information using a moderately complex computer system.

PART TIME NIGHT AUDITOR

SUMMARY:
Audit, balance and report on the various areas of the hotel (e.g. food & beverage outlets, rooms/front desk, pantry,etc.) to provide accurate, timely information and to ensure hotel policies and procedures are followed and to prevent fraud.

ESSENTIAL FUNCTIONS:
1. Audit, balance and report on all food and beverage outlets' (e.g. restaurants,  banquets, room service) cash and credit operations to include but not limited to checks, over/short figures/tally sheets, deposits, counts, house charges, promotional materials, postings, etc. and reset all registers to ensure accurate, timely information.
2. Audit, balance, post and report on the front desk to include but not limited to; room charges, phone calls, zero balance folios, corrections, adjustments, taxes, disputed charges, over/short figures, deposits, etc. to ensure accuracy and verify proper cash handling procedures are followed.
3. Audit, balance and prepare, verify and report on Room information to provide rooms management with a picture of how they are performing.
4. Prepare and input statistics and income journal sheets for preparation of daily reports.     
5. Balance and close all bank ticket codes, daily.
6. Run night audit final after insuring all revenues are in balance nightly.
7. Perform the duties of a Front Desk Clerk including express checkouts.
8. Assist the Night Mgr/Night Audit Supervisor as requested and other duties as assigned.

EDUCATION: 
High School Education/GED  or equivalent education and experience.

EXPERIENCE:
Accounting background in a hotel environment preferred.

SKILLS AND ABILITIES:
Accounting aptitude, intermediate knowledge of Excel and 10-key/calculator skills. Exceptional telephone and guest relations etiquette and skills are a must. Positive demeanor and ability to work independently are required.

ESSENTIAL FUNCTIONS:


1. Handle guest registration and room assignments, accommodating special requests whenever possible.

KITCHEN SUPERVISOR

SUMMARY:
Train, supervise and actively participate in all the food productions areas of the kitchen, mainly in the outlets, in order to maintain Interstate Hotel and Resorts high standards of quality.

ESSENTIAL FUNCTIONS:
• Supervise in the production and preparation areas of the kitchen in order to attract, retain and motivate the employees while providing a safe work environment; interview, schedule, train develop, empower, coach and counsel, resolve problems, provide open communication, recommend and conduct performance and salary reviews, recommend discipline, as appropriate.   
• Visually inspects, selects and uses only the freshest fruits, vegetables, meats, fish and other food products of the highest standard in the preparation of all menu items.  Reads and employs math skills for following recipes.  Prepares pre-orders for supplies and food items for production in work station.
• Assist with scheduling of culinary staff so that proper coverage is maintained while keeping payroll costs in line.
• Observes production flow and makes adjustments in order to adhere to control procedures for cost and quality.
• Monitors to ensure proper receiving, storage (including temperature-setting) and rotation of food products so as to comply with Health Department and Eco-Sure regulations, including coverage, labeling, dating, and placing items in proper containers to ensure product freshness.
• Assigns in detail, specific duties to all employees under supervision of the Executive Chef for efficient operation of kitchen and service.
• Supervises daily cleaning, inventorying of walk-in and reach-in boxes.
• Checks to see that all equipment in the kitchen is clean and in proper working condition and write work tickets for any equipment in need of repair.


OTHER:
Regular attendance in conformance with the standards, which may be established by the property from time to time, is essential to the successful performance of this position.
Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel.
Upon employment, all employees are required to fully comply with IHRCO rules and regulations for the safe and efficient operation of hotel facilities. 

NON-ESSENTIAL FUNCTIONS:
• Performs other duties as required, i.e. special orders, buffet presentation, V.I.P. parties, writing specialty menus for promotions, etc.

SALES AND CATERING ADMINISTRATOR

SUMMARY:    Provides sales and catering department and back office with administrative support including lead distribution, group rooms administration, database administration and software systems, typing, filing, answering telephones, maintaining appointment calendar, ordering office supplies and other general office duties.
 
ESSENTIAL FUNCTIONS:
1. Maintain database updates through Delphi and ensure standards are met.
2. Provides database problem solving, provide solutions and support to meet needs of property.
3. Answer incoming telephone calls completing a lead form for all inquiries and assist guest with questions, changes and special requests. Ensure no leads are abandoned and all calls are returned within four hours and requests are communicated to appropriate departments. 
4. Prepare all outgoing correspondence for mailing and file copies including thank you letters and comment cards. 
5. Maintain sales and catering filing systems. File contracts and correspondence daily. 
6.Opens incoming mail, date stamps and distributes accordingly. Sends outgoing mail both interoffice and outside of the hotel. Routes mail, faxes and other printer materials.
7. Types and prepares numerical/financial reports as directed. Prepares correspondence on behalf of management staff. Enters data into the departments’ information system.    
8. Orders and maintains office supplies.
9. Process deposits and payments for upcoming groups.
10. Greets internal and external customers in a friendly and professional manner. Give prospective clients a tour of the hotel’s facilities. Announces visitors and/or handles requests as appropriate
11. Reconciliation of banquet checks & posting on OnQ front desk as needed.

SUMMARY
Set up, tend and breakdown banquet bars according to standard policies and procedures in a safe, accident-free manner.

ESSENTIAL FUNCTIONS:
Check BEOs to determine function, number of guests and type of bar (house, premium, cash, open, etc.).
Set up portable bar in function area according to standard policies and procedures.
Make and serve drinks to guests in a cordial, professional manner following established guidelines, policies and procedures regarding beverages and safety controls as prescribed by the state and the hotel. Track and log alcohol served.
Remove all liquor glasses from tables, tablecloths, trash and liquor from function area.
Remove all trash and liquor from area and return bar to storeroom.
Breakdown, clean bar thoroughly; wipe surface areas and empty water in portable bar. Return all equipment and supplies to proper area.
